This Data Retention & Deletion Policy (“Policy”) explains how EduWindow Private Limited (“EduWindow”, “we”, “us”, or “our”) retains, manages, archives, exports, and deletes institutional data and personal information processed through the EduWindow platform, applications, websites, APIs, and related services (“Services”).
This Policy should be read together with the EduWindow Terms of Service, Privacy Policy, Security Policy, Acceptable Use Policy, and AI Terms.
EduWindow retains information only for purposes reasonably connected with providing, securing, maintaining, improving, and supporting the Services, complying with applicable legal obligations, resolving disputes, preventing fraud and abuse, and protecting the rights and security of EduWindow, institutions, and users.
Retention periods may vary depending on the nature, purpose, sensitivity, and legal requirements applicable to the information.
Depending on the Services used, EduWindow may retain information including:

While an institution maintains an active subscription, EduWindow generally retains applicable institutional data so that the institution and its authorized users can use the Services.

Where an institution requests complete account or workspace deletion, EduWindow may deactivate or restrict the relevant workspace before permanent deletion is completed.
Deletion may be subject to verification, contractual obligations, legal requirements, outstanding disputes, and technical processing requirements.
Where an institution manages user accounts, the institution is generally responsible for requesting deactivation or deletion of user access when a user no longer requires access.
EduWindow may retain certain account, security, or audit information where reasonably necessary for security, fraud prevention, legal compliance, or legitimate operational purposes.
EduWindow does not automatically delete institutional data solely because an account or user has been inactive for a period of time, unless otherwise required by applicable law or a specific contractual arrangement.
EduWindow may contact the institution, restrict access, or take other reasonable security or administrative measures in relation to inactive accounts.
Institutions may request an export of applicable institutional data subject to verification, technical feasibility, applicable subscription terms, and any applicable charges.

EduWindow does not guarantee that every type of data can be exported in every format.
Where an institution requests both data export and deletion, EduWindow may process the export before completing permanent deletion.
The institution is responsible for reviewing and securely storing exported information.

Where technically supported, authorized administrators may also update information directly through the Services.

Information processed through AI Features may be retained depending on the specific AI Feature, technical architecture, security requirements, contractual terms, and applicable law.
Where AI-related information is retained, it will be handled in accordance with the Privacy Policy, AI Terms, applicable agreements, and relevant retention requirements.

Where payment processing is performed by third-party payment providers, those providers may independently retain transaction information according to their applicable policies and legal requirements.
